How to print labels on continuous-feed paper using BMS v4+ and MS Word's Mail Merge

Step-by-step guide


Breeding Activities :: Manage Nurseries / Manage Trials, then Create new nursery/trial.


Give the nursery/trial a name and description.


On Nursery Settings tab, click Add to include StockID as a germplasm descriptor.


On Germplasm & Checks tab, click Browse and select the germplasm list that will be used for the nursery/trial.


Click Save.


Click Actions :: Design and planning options :: Create planting labels.


Choose Excel as output format.


Drag and drop preferred fields from the left ("Nursery Details, Nursery List Details") to the right (under "Selected Fields").


"No" to barcodes, click Export Label.



Save File.


Launch Microsoft Word.


Click on Start Mail Merge then Labels.                                            


In the Label options window, select Continous-feed printers under Printer information. In this example, I want to print two columns of labels on fanfold paper.

I select the Vendor (eg. Compulabel) and a product with my needed dimensions (20 cm x 30 cm) eg. Product number 120352 - Pinfeed - 3.5 x 1-7/16

Click OK.


Click Select Recipients, then Use existing list.                                     


Select any BMS-generated label file (nursery/trial) in Excel, or this example.                                                                      


You will get a document page that looks like this:


Start formatting one label. In this example, I type in "Stock ID:", "Nursery:", "GID:", "Designation:" to serve as placeholders.

Designation:


Place the cursor beside "Stock ID:" then click Insert Merge Field. Select StockID.


Repeat for the other info fields:


Copy the contents of the first label, and paste on the following label (after <<Next Record>>). Do this for the entire page.



Click Preview Results


Click Finish and Merge, then Print Documents



Use the exported nursery/trial label file (in Excel) - generated by the BMS - as the list of Mail Merge "recipients".
